Authoring Studio's Collaborative Book Production: Inviting Contributors

Studio is a great tool to use on your own, but it shines when you use it to collaborate with other people.

Ways to Invite People

There are two ways to add collaborators to the studio:
1. Inviting via Email on My Dashboard: You can invite collaborators by sending email invitations directly from your dashboard.
2. Invitation Codes: You can use unique invitation codes generated for each book and share them with your collaborators.

Inviting via Email on My Dashboard:

To invite people via email, follow the steps below:
Enter My Dashboard.



Click on the INVITE button. A new window will open, guiding you through the four-step process.


Step 1: Enter Email Address

In this step, you can enter the email addresses of the individuals you wish to invite as collaborators. If you need to invite multiple people, simply separate their email addresses using commas.


Step 2: Enter Message

Here, you can compose a personalized invitation message that will be included in the email. It is an opportunity to provide context, explain the purpose of the collaboration, and provide other relevant information.


Step 3: Choose Books

Here, you can select the book or project you want your collaborators to work on.


Step 4: Set Roles

You can assign different roles to the collaborators based on their responsibilities. These roles are:



Editor: An editor’s responsibility is to improve the book's quality and cohesion by offering feedback and fine-tuning the content.
Author: The author has a significant creative role in shaping the book, and after the book's owner, they possess the highest level of access to various settings in the studio.
Production Manager: The Production Manager supervises the logistical elements of book production, guaranteeing a seamless operation.
Reviewer: Reviewers objectively assess the book's content and offer valuable feedback.

After selecting the roles, click on Finish. Following this step, you will see a message indicating that your invitation has been sent.


Invitation Codes

A convenient way to invite people is to use the Invitation Code that can be generated for each book. As a book owner or a collaborator with senior rights, you can create invitation codes that can be shared. The people you invite will simply access their dashboard, click on Join Book, and enter the invitation code.

Generating an Invitation Code

To generate an Invitation Code, follow the steps below:
1. Go to Book Details. You can do this by either: 1. clicking on the eye icon (View Book Details) next to your book on My Dashboard, or 2. While editing the book, click on the Info button on the top left corner.





2. On the Book Details page, beneath the book info, click on Invitation Codes.



3. In the opened window, in the Roles section, select the expected role of your collaborators.


4. In the Expire On section, specify the duration for which the code will be valid. Past this date, access to the book via the code is no longer possible.


5. Click on Generate to get a new invitation code. Share this code with the people that you want to invite to your book. Each code can be shared with multiple people.


In the Existent Codes section, you can see a list of codes that have been previously generated.



Code: You can view the unique code assigned to each role.



Roles: The Roles column displays the roles associated with each code.



Valid: You can check the validity of each code by referring to the Valid (Expires On) column. It shows when each code will expire.



Note: The code's validity is denoted by the word Yes. When you hover your mouse over Yes, the precise expiration date of the code will be revealed.






Action (Copy, Delete): The Action column allows you to Copy or Delete a code from the Existent Codes list.


Joining the Book Collaboration

Individuals can begin their collaboration in book production after receiving their invitation code.
To start collaborating on a book you’re invited to, follow these steps:
1. Enter the My Dashboard page.



2. Click on the Join Book button.



3. Enter your invitation code in the relevant field of the opened window.



4. Click on the Join Now button.


5. A message indicating you are joining the related book will be displayed.


The desired book is displayed in the Participating Books section at the bottom of the My Dashboard page.



Notice: The people you invite need to be registered users on the platform, so they can log in.

1. How can I invite others to collaborate on Studio?

Invited individuals should log in to Studio, access My Dashboard, click "Join Book," enter the Invitation Code provided, and click "Join Now" to start collaborating.

5. What should invited collaborators ensure before joining the collaboration?
They need to be registered users on the platform to participate in the book collaboration.
